Use this guide to define doors, users, operating rules, credentials, integrations, and long-term ownership before requesting an access-control proposal. A clear brief helps stakeholders compare solutions on the same basis and reduces costly changes after a project begins.

Start With the Decisions That Matter

Access control should support the way a facility actually operates. Begin with outcomes, not product names. Identify the people and assets that require protection, the events the organization needs to prevent or document, and the team responsible for daily administration.

  • Which exterior and interior openings need electronic control?
  • Who needs access, to which areas, and during what schedules?
  • How should visitors, vendors, drivers, and temporary workers be handled?
  • Which events require an alert, investigation, or retained record?
  • Who approves permissions, removes credentials, and reviews exceptions?

Build a Door and Opening Schedule

A door schedule is the foundation of an accurate design. Assign each opening a unique name and record its location, purpose, traffic level, current hardware, locking function, door condition, and relationship to emergency egress. Include vehicle gates, turnstiles, elevators, loading areas, and shared tenant entrances when they are in scope.

Photographs and marked floor plans make the schedule easier to verify. Note fire-rated openings, accessibility requirements, automatic operators, existing keys, available pathways, nearby power, network availability, environmental exposure, and any schedule that limits when work can occur. Final hardware and life-safety decisions should be coordinated with qualified professionals and the applicable authority.

Match Credentials to Risk and Workflow

The best credential is the one the organization can issue, protect, revoke, and audit consistently. Card and fob credentials are familiar and easy to distribute. Mobile credentials can simplify remote issuance but require compatible phones, connectivity policies, and user support. PINs may be useful for selected workflows but are easier to share. Biometrics can add assurance in higher-risk areas while introducing privacy, enrollment, and policy considerations.

Define how credentials will be issued, activated, replaced, suspended, and returned. Plan for new hires, role changes, terminations, forgotten credentials, after-hours access, contractors, and emergencies. If several facilities are involved, decide whether identities and schedules should be managed centrally.

Readers and Credentials

Readers identify a presented card, fob, phone, PIN, or biometric factor. Ask which credential technologies are supported, how securely credentials are stored and transmitted, whether legacy cards can be retained during a transition, and how lost credentials are revoked.

Door Hardware and Field Devices

Electric strikes, electrified locksets, magnetic locks, door-position switches, request-to-exit devices, power supplies, and release interfaces all affect how an opening behaves. Existing doors, frames, closers, panic hardware, and keys should be evaluated as part of the plan. The selected arrangement must support normal entry, free egress, emergency operation, and the intended level of monitoring.

Controllers, Software, and Communications

Controllers make access decisions and communicate with management software. Compare on-premises, cloud-managed, and hybrid approaches based on offline operation, administrator needs, remote access, software lifecycle, subscription costs, reporting, integrations, and multi-site growth. Confirm what continues to work during an internet, server, or power interruption.

Define Daily and Exception Workflows

A technically capable system can still fail if operating rules are unclear. Map the normal process and the exceptions before configuration begins.

  • Employee onboarding, transfers, and offboarding
  • Visitor registration, escort rules, and temporary access
  • Contractor access by location, date, and work window
  • Delivery, loading-dock, and vehicle-gate procedures
  • Forced-door, held-door, and repeated-denial response
  • Lockdown, evacuation, first-responder, and after-hours procedures

Assign an owner to every workflow. Decide who can create administrators, change schedules, unlock doors remotely, acknowledge alarms, export reports, and approve sensitive permissions. Use role-based access so staff receive only the privileges required for their responsibilities.

Plan Useful Integrations

Integrations should solve a defined problem. Video can help verify a forced door or disputed credential event. Intercoms can support visitor entry. Intrusion systems may coordinate building schedules. Elevators and parking systems may extend permissions beyond doors. Identity or human-resources systems can reduce duplicate administration when ownership and data handling are clearly defined.

For every proposed integration, document the trigger, expected response, responsible operator, retained record, failure behavior, and test method. Avoid integrations that add complexity without improving a real workflow.

Protect Cybersecurity and System Ownership

Treat access control as a business system, not an isolated appliance. Review network segmentation, encryption, multifactor authentication, password policy, remote-support methods, software updates, backups, logging, and account recovery. Coordinate network requirements with the organization’s IT team before equipment is selected.

Clarify who will own the software tenant, administrator accounts, programming files, drawings, licenses, databases, credentials, backups, and service records. Confirm how data can be exported and how another qualified provider could support the system later. Clear ownership protects future options and reduces avoidable lock-in.

Prepare for Implementation and Acceptance

A complete project plan should include a verified survey, approved door schedule, device locations, cable and network requirements, power strategy, stakeholder signoff, code coordination, rollout sequence, and a written acceptance test. Occupied facilities may also need escorts, badging, lift access, production coordination, temporary security, and after-hours work windows.

Acceptance testing should confirm each credential type, access level, schedule, door state, alert, integration, report, backup behavior, and emergency procedure. Require administrator training, final drawings, device and cable labels, warranty details, credential inventories, and a documented support path before closeout.

Compare Proposals on Total Value

Price comparisons are meaningful only when proposals cover the same doors, functions, assumptions, and deliverables. Separate one-time project costs from recurring software, cellular, cloud, monitoring, licensing, and support charges. Ask how future doors, sites, administrators, and integrations change the cost.

  • Is every opening and required device listed?
  • Are existing conditions and exclusions documented?
  • Are software, subscriptions, and renewal terms clear?
  • Are testing, training, drawings, and closeout records included?
  • Are warranty, response, maintenance, and ownership terms defined?

Can existing cards or door hardware be reused?

Sometimes. Compatibility, security, condition, code requirements, and long-term support should be verified during the survey. Reuse should be an informed decision, not an assumption.

What happens when power or the network fails?

The answer depends on the architecture and the required behavior of each opening. Document battery runtime, local controller operation, communications recovery, lock behavior, and emergency-release requirements.

How much event history should be retained?

Retention should reflect investigation needs, internal policy, privacy obligations, storage limits, and any applicable audit requirements. Define who may search or export records.

Should access control connect to video?

Connect the systems when event-linked video will improve verification, response, or investigations. Specify which events need video, how operators retrieve it, and how the integration will be tested.
